Privacy policy

How does Budgeter.ai handle my data?

The administrator of the budgeter.ai service processes your account details and the financial data you connect only to provide budgeting and forecasting. Integrations are read-only, data is encrypted, it is never sold or used to train public AI models, and you can export or delete it at any time by writing to [email protected].

Who is responsible for your data

Your personal data is processed by the administrator of the budgeter.ai service. You can reach the administrator about anything in this policy at [email protected]. We answer privacy requests within 30 days, usually much sooner.

When your company connects its accounting system, bank feed, payroll or CRM, your company decides what is connected and who in the company can see it. For that business data we act on your company's instructions. Enterprise customers can sign a data processing agreement.

What we collect

Account data

Your email address, a hashed password, the company name you enter inside the app, your role in the workspace and the one-time codes we send to confirm your address. We do not ask for your phone number or postal address.

Financial data you connect

Read-only data from the sources you connect, such as your chart of accounts, monthly profit and loss, balance sheet, bank balances, invoices and bills, payroll totals, subscription revenue and CRM pipeline. You choose the sources. We never move money and never write anything back to your systems.

What you create

Budgets, forecasts, scenarios, approvals, comments, exports and the questions you ask the AI CFO together with its answers.

Demo inputs

If you use the runway calculator without an account, we keep the numbers you entered in your browser session so the result page can show them. If you sign up, the latest demo forecast is linked to your account so you can download its snapshot.

Billing data

Your plan, billing period, invoices and payment status. Card details are entered on the payment operator's secure page and never reach our servers.

Technical data

IP address, browser type, pages visited and error logs, kept for security, abuse prevention and fixing problems.

Why we use it and on what legal basis

  • To provide the service you signed up for: building budgets, forecasts and answers from your data (performance of the contract).
  • To bill your subscription and keep accounting records (performance of the contract and legal obligation).
  • To keep the service secure, prevent abuse and fix errors (legitimate interest).
  • To send service emails, such as confirmation codes, overspend alerts you set up, receipts and changes to these terms (performance of the contract).

We do not sell personal data, we do not show ads, and we do not use your financial data to train public AI models.

The AI CFO

When you ask the AI CFO a question, the figures needed for that answer are sent to an AI model provider for processing and the answer comes back to your workspace. The provider processes the data on our instructions and does not use it to train its public models. AI features are available on paid plans only.

Who receives data

We share data only with service providers who help us run Budgeter.ai, under contracts that limit them to our instructions. The categories are:

  • a hosting and infrastructure provider,
  • a payment operator that processes card payments and subscriptions,
  • an email delivery provider for confirmation codes, alerts and receipts,
  • an AI model provider for AI CFO answers,
  • the accounting, banking, payroll and CRM services you choose to connect, which send data to us at your request.

We may disclose data when the law requires it, for example to a court or a public authority with a valid legal basis. Where a provider processes data outside the European Economic Area, transfers rely on standard contractual clauses or another lawful mechanism.

How we protect it

Data is encrypted in transit with TLS and at rest with AES-256. Integration tokens are stored encrypted. Access inside your workspace follows roles, and on Scale and Enterprise every change is recorded in an audit log. Details are on the security page.

How long we keep it

  • Account and workspace data: while your account is active, and deleted within 30 days after you delete the workspace.
  • Financial data from integrations: while the integration is connected, and deleted when you disconnect it or delete the workspace.
  • Billing records: as long as tax and accounting law requires.
  • Security logs: up to 12 months.
  • Anonymous demo inputs: until your browser session ends.

Your rights

You can ask for access to your data, a copy in a portable format, correction, deletion, restriction of processing, and you can object to processing based on legitimate interest. Most of this you can do yourself in the app: export your budgets, disconnect integrations and delete the workspace. For anything else, write to [email protected]. You also have the right to lodge a complaint with your data protection supervisory authority.

Cookies

We use only essential cookies that keep you signed in and protect forms. There are no advertising or tracking cookies and no cookie banner. See the cookie policy.

Changes to this policy

If we change how we process data in a meaningful way, we update this page and notify account owners by email before the change applies. The terms of service explain the rest of our agreement with you.
